Privacy Policy

BlazeOS is a dealer operating system for window covering retailers. It is operated from Ontario, Canada. This policy explains what information BlazeOS collects, how it is used, and the choices you have. It applies to the BlazeOS web application at blazeos.app and to the lead-capture endpoints that feed it.
Who this policy covers
BlazeOS has two kinds of people whose information it handles:
- Dealers and their staff — the retail businesses that subscribe to BlazeOS, and the owners, sales reps, and installers who sign in to it.
- A dealer’s customers and leads — the homeowners and businesses whose details a dealer enters into BlazeOS or who submit a lead form that BlazeOS receives on the dealer’s behalf. For this information the dealer decides what is collected and why; BlazeOS processes it to provide the service to the dealer.
What we collect
- Dealer business data. Account and sign-in details for each user (name, email, role), dealer settings (business name, locations, tax and deposit defaults, branding), and the operating records a dealer creates in the app: leads, quotes, orders, jobs, schedules, purchase orders, payments, notes, uploaded documents and photos, and team messages.
- Customer contact information entered by dealers. Names, phone numbers, email addresses, service addresses, and project notes that a dealer records about their customers and prospects.
- Lead form submissions received via webhooks. When a dealer connects a website form, Google lead form, or Meta lead form to BlazeOS, the submission (typically name, phone, email, address, message, and which form or campaign it came from) is delivered to BlazeOS and stored as a lead for that dealer.
- Google Ads click identifiers for attribution. Lead forms may pass along advertising click identifiers (for example a Google Click ID) and related campaign fields. BlazeOS stores these with the lead so the dealer can see which ads produced it.
- Technical and usage data. Sign-in session cookies, a preference cookie for light or dark mode, and standard server logs (IP address, browser, pages requested) kept for security and troubleshooting.
How we use it
- Running the dealer’s business. Everything above is used to provide BlazeOS to the dealer: managing leads and follow-up, preparing and sending quotes, scheduling check measures and installs, tracking orders and payments, and coordinating the team. This includes sending emails and notifications on the dealer’s behalf, such as a quote link, a booking confirmation, a payment receipt, or a review request.
- Conversion reporting to Google Ads. BlazeOS may use the stored click identifier to report lead outcomes (for example that a lead was quoted or sold) back to Google Ads so the dealer’s advertising can be measured. Only the click identifier, the conversion event, its time, and where applicable its value are shared; customer names and contact details are not.
- Support, security, and improvement. Diagnosing problems, preventing abuse, and understanding how the product is used.
We do not sell data
BlazeOS does not sell personal information and does not share it with third parties for their own marketing. Data is disclosed only to the service providers below, to a dealer’s own connected services at the dealer’s direction (such as Google Ads conversion reporting), or where required by law.
Hosting and service providers
BlazeOS is hosted on Vercel (application hosting) and Supabase (database, authentication, and file storage). We also use a transactional email provider to deliver messages sent from the app, and an AI model provider to power features such as document parsing and summaries. These providers process data only to supply their service to BlazeOS and are bound by their own security and privacy commitments. Their infrastructure may be located outside Canada, including in the United States, so information may be stored or processed there.
Security
Data is encrypted in transit. Every dealer’s records are isolated at the database level so that one dealer cannot read another’s data, and access within a dealer is limited by role. No system is perfectly secure, but we take reasonable steps to protect the information we hold.
Retention
We keep a dealer’s data for as long as the dealer’s account is active and for a reasonable period afterwards so it can be exported or restored. A dealer can ask us to delete their account data at any time. Server logs are kept only as long as needed for security and troubleshooting.
Your rights and choices
Under Canadian privacy law you may ask what personal information we hold about you, ask for it to be corrected, or withdraw consent where consent is the basis for processing. If you are a customer or lead of a dealer that uses BlazeOS, please contact that dealer first; they control your record and can update or remove it. If you cannot reach them, or you are a dealer with a request about your own account, contact us at the address below and we will respond within a reasonable time.
Cookies
BlazeOS uses cookies only to keep you signed in and to remember interface preferences. It does not use advertising or cross-site tracking cookies.
Changes to this policy
If this policy changes, the updated version will be posted at this address with a new effective date. Material changes will also be communicated to dealers through the app or by email.
